1. Application/Acceptance: Applications for Trade Stand space should be completed using the official online application process. The application should be completed in full, and the exhibitor in doing so has agreed to accept the relevant terms and conditions. Submission of an application does not guarantee allocation of trade stand space. The Dobiefest management reserves the right to decline an application for exhibition space for any reason. It also reserves the right to reduce the size of the area requested or cancel or close a trade stand or activity at any time prior to or during the live event. The Exhibitor agrees when applying for a trade stand, they accept Dobiefest and Lincs Dobermann Rescue will not be held responsible for any loss, financial or otherwise, because of the applicant’s participation in the Event. Exhibitors agree to conform to all the rules and regulations for Dobiefest and will always comply with any instruction from authorised personnel. This applies before, during and after the event. Any disputes in relation to the terms and conditions, between exhibitors, or the Event management and exhibitors, will be resolved by the Dobiefest management team. Their decision will always be final. Verbal or physical abuse towards Dobiefest Staff will not be tolerated, and anyone responsible will be excluded from future events.
2. Breach: Any breach of these terms and conditions by the Exhibitor and/or their staff shall, without prejudice to any other outcome available, permit the Dobiefest management to cancel the agreement with the Exhibitor and, request their immediate removal from the site including any equipment and vehicles belonging to them.
3. Changes or Cancellations: The Dobiefest management reserves the right prior to or during the live event to postpone or cancel it for any reason which is out of their control. This may include safety advice from the Emergency Services, a decision of the Venue Management Team or because of Force Majeure. The Management team also reserves the right to make changes to the parameters of the site, the allocated trade stand space, and/or amend the published times for set up, opening and breakdown. Dobiefest or Lincs Dobermann Rescue will not be held accountable for any loss, financial or otherwise arising out of the cancellation or curtailment of the event.
4. Litter: Exhibitor’s must ensure their trade stand space is always clean and tidy and free from obstructions. The Exhibitor must dispose of all litter after the event and leave their trade stand space completely clear. Always use the bins provided. The exhibitor shall restore their stand space to its original condition. Any infringement of this condition may result in a fine.
5. Regulations and Health & Safety: Exhibitor’s must comply with all current safety and fire regulations, including the Health & Safety at Work Act and the Regulatory Reform Fire Safety Order (RRFS), as well as any directions issued by the HSE or local authority. Exhibitor’s and their staff must comply with any safety instructions given by the Dobiefest Health & Safety Officer or members of the Management team at all times.
6. Stand Space: Exhibitors must ensure all signs, display equipment, and banners are contained within their stand space or allocated area. Exhibitors are not permitted to sub-let, transfer or share stand space without prior agreement from the Dobiefest Management team. Activities that may infringe on the rights of other exhibitors must be avoided. Exhibitors must ensure no damage is caused to the site or within their stand space. Exhibitors are not permitted to sell refreshments, food or drink for consumption as this is a breach of the venue catering franchise agreement.
7. Trading and Selling of Goods: Dobiefest does not allow the sale of goods or provision of services that have not been declared on the official Trade Stand application. The sale or display of the following items are prohibited at the event. Pellet guns, knives, balloons, water pistols and similar products. Dobiefest does not offer exclusive rights to traders for any range of products. Failure to conform to these Terms & Conditions will result in the trader in question being excluded from the event. Dobiefest and Lincs Dobermann Rescue will not be held liable for any claim for a refund for trading fees or associated costs in this situation.
8. Entry of Stand Equipment & Business Times: Access is available for all stands to set up from 12 noon Friday 19th June, and from 7.00am on Saturday 20th June. Exhibitors must ensure their stand is attended and open for inspection by the Health & Safety Officer by 8.45am of the day of the event. All trade stands must be open for business from 9.00am to 5.30pm on event day. Stands must be completely dismantled and removed no later than 11.00am Sunday 21st June. Security of trade stands overnight Friday or Saturday is the responsibility of the exhibitor, and not Dobiefest or the Venue Management.
9. Site: Every effort will be made to accommodate exhibitors’ requirements; however, the final allocation and location of exhibition space will be at the discretion of the Dobiefest. management. Exhibitors must report to the trade stand supervisor on arrival who will direct them to their allocated space or area. No vehicles are permitted to enter the arena at any time.
10. Security: Stand Holders are responsible for the security of their stands and contents during the event and overnight. Dobiefest cannot be held responsible for any loss or damage however caused.
